JOB TITLE:  Coordinator

OVERVIEW

In this role, you will play a key part in the day-to-day management and evolution of the business, helping scale up our operational practices, as well as support our client work. This is a great growth opportunity for a motivated individual to gain both strategic and hands-on experience.

RESPONSIBILITIES

The Coordinator will be a true utility player, able to work nimbly across multiple projects in a fast-paced, collaborative work environment. While responsibilities will shift depending on client load and needs, the Coordinator can expect the following general categories of work over the course of the year:

  • Project coordination (50%)

    • Work closely with team leads to support client initiatives. Depending on the project, activities might include data collection and entry, research, analysis, facilitation support, and note taking

    • Manage new project set up, administration and close-out

    • Special projects as assigned

  • Marketing and Proposal Support (25%)

    •  Support the preparation of proposals and presentations for prospective and active clients

    • Organize and manage the proposal process to ensure deadlines are met.

    • Produce, organize and maintain marketing collateral, including website, social media, etc.

    • Write, edit, design and proofread communications materials, including correspondence, talking points, power point presentations, reports, etc.

  • Operational Support (25%)

    • Manage the firm's operational tools and systems, including Asana, Google Drive,  Toggl, Sharepoint, MailChimp, SurveyMonkey, etc.

    • Maintain clear, professional, and consistent communications across the Uncommon team, with prospective and current clients, subcontractors, and vendors.

    • Manage CEO's calendar

    • Maintain a suite of Uncommon operations files (i.e.  resumes/bios, templates, articles and resources)

    • Support regular team meetings, including scheduling, creating agendas, ensuring team input, and keeping notes and managing follow-up.

    • Coordinate and assist with events, for Uncommon and our clients.

    • Assist in business pipeline management, tracking leads and ensuring timely follow-up.

    • Oversee general office management, including but not limited to ordering office supplies, filing, etc.

    • Provide support for travel arrangements.

ESSENTIAL SKILLS, COMPETENCIES, and EXPERIENCE:

  • Excellent written and verbal communication skills, and ability to communicate effectively and tactfully with individuals at all levels within and outside of the firm.

  • Strong computer skills, including fluency with Microsoft Word, Excel and PowerPoint, and web-based tools (e.g. Toggl, Asana, MailChimp, SurveyMonkey, etc.). Proven ability to learn and adapt to new technologies.

  • Ability to manage Outlook calendars for a team and foresee and resolve schedule conflicts in advance

  • Excellent organizational, time, and project management skills. Ability to manage multiple priorities and respond nimbly if those priorities change.

  • Passionate attention to detail

  • Ability to work independently, and as a member of a team.

  • Strong work ethic and service orientation.

  • Intellectual curiosity and a commitment to professional growth and development.

  • B.A. or commensurate experience in consulting, communications, marketing, or community engagement preferred.

  • Experience with community/civic affairs, philanthropy, US education, and/or global health and development, and/or facilitation a plus.

COMPENSATION: $40-45,000 /year DOE + benefits

TERMS: This position is full-time, salaried employee. Work hours are flexible but require a least 75% of time spent onsite in our Seattle office.
